In early June 2007 Microsoft Office 2007 was installed on Windows computers that CSS manages for the College of Engineering. Here are some differences between this version of Word and its predecessors and notes about using Word 2007. For training on Word 2007, look at the ITS Office 2007 training resources.

If you created a shortcut for Word 2003 on your desktop or on the Start Menu, remove the old shortcut and create a new one for Word 2007.

New

The Ribbon

The traditional menus and toolbars have been replaced by the Ribbon, a new device that presents commands organized into a set of tabs. The Ribbon is context sensitive. Hover over icons on the ribbon for more information. Click the Dialogue Launcher (in the lower right of some tab groups) for expanded options. Here is the Word 2007 ribbon:

The Office Button

Office button Find the Office button in the top left corner of Word. Click on it to find options to Open, Save, Save As, Close, Print, Prepare, and so on. Click on the Office button to see the list of recent documents. Click on the push pin to the right of a recent document to keep it appearing the the Recent Documents list.

Quick Access Toolbar

quick access toolbarFind the quick Access toolbar to the right of the Office button. You can customize commands that appear on this toolbar by clicking on the arrow to the right.

Mini Toolbar

When you select text, the Mini toolbar pops up. It is semi-transparent until you move the mouse to it; it contains commands to change the format -- font, size, color, highlight, style, and so on -- of the selected text. These same commands are available from the ribbon, but the Mini toolbar is closer and so requires less mouse movement.

Keyboard Shortcuts using Ctrl (old) and Alt (new)

The keyboard shortcuts such as Ctrl C (copy), Ctrl V (paste), Ctrl P (print), and Ctrl S (save) still function. New shortcuts are available by pressing the Alt key, which superimposes the command letter or number in the ribbon. For example, press the Alt key to see the available commands, type "w" to see the View tab and "r" to turn the ruler on. Press Alt again to turn off this quick access.

Save as PDF

To create PDF files, go to Print and select the printer Adobe PDF, rather than the default printer, from the Print dialogue box. Adobe expects to release its patch to add the PDF ribbon to Office 2007 applications before 30 June 2007; we have not yet received that patch but will install it as soon as we do.

word 2007 help iconThe help button is in the upper right corner of the screen. You can also press F1. Help information has been organized by topic. You can also search for information using the search area at the top of the Help dialogue box.

Other Things to Know

EndNote and MathType word 2007 trusted locations

If you used EndNote or MathType with Word 2003, you will want to continue to use those add-in programs. Word 2007 does include an equation editor and a function to add endnotes, but neither of those have as much functionality as EndNote or MathType.

Old Word Documents (pre-Word97 and Mac Word)

If you need to open documents created with a version of Word 95 or Mac Word 5.6 or before, Word 2007 displays a security warning: "You are attemption to opn a file that was created in an earlier version of Microsoft Office. This filey type is blocked from opening in this version by your registry policy setting." To open such documents, go to Office button and select Word Options | Trust Center | Trust Center Settings | Trusted Locations | Add new location and click "Subfolders of this location are also trusted." The location listed as the trusted source will be C:\Documents and Settings\loginID\Application Data\Microsoft \Templates. (See illustration at right.) S
